Optimum Business Solution is a leading ERPNext implementation partner in Nigeria, serving enterprise clients across manufacturing, distribution, and retail sectors. With the NRS e-invoicing mandate approaching, their clients faced a critical challenge: how to integrate compliant e-invoicing into their existing ERPNext workflows without disrupting operations.

The challenges were significant:

• Multiple ERP versions: Clients running different ERPNext versions needed a unified solution
• High transaction volumes: Some clients process thousands of invoices monthly
• Complex workflows: Existing approval and posting workflows couldn't be disrupted
• Tight deadline: January 2026 compliance deadline left limited time for implementation

The Solution

Optimum Business Solution partnered with ZUTAX to create a seamless ERPNext integration that would work across their client base. The solution leveraged ZUTAX's robust API to:

• Automatically validate invoices against NRS requirements before submission
• Generate IRNs and QR codes directly within ERPNext
• Transmit invoices through PASPA's certified Peppol Access Point
• Sync delivery status and confirmation back to ERPNext

Implementation

The integration was implemented in three phases:

Phase 1: API Integration (Day 1-2)

The development team used ZUTAX's comprehensive API documentation to build a custom ERPNext app that handles invoice validation and submission. The app hooks into ERPNext's existing Sales Invoice workflow, adding NRS compliance as a seamless step.

Phase 2: Testing & Validation (Day 2-3)

Using ZUTAX's sandbox environment, the team tested various invoice scenarios including:

• Standard B2B invoices
• Credit notes and adjustments
• Multi-currency transactions
• High-volume batch submissions

Phase 3: Production Rollout (Day 3+)

With successful testing complete, the solution was deployed to production. ZUTAX's real-time validation ensured zero rejected invoices from day one.
